Overview

Maypole is going through a period of growth and we require a responsible receptionist to join our team.   

Core Responsibilities involve:

  • You will be the first point of contact for our company, managing all forms of communication with precision. This includes fielding phone calls, managing email correspondence, and handling postal mail, ensuring all communications are directed to the appropriate parties promptly.
  • Maintain meticulous records, manage office supplies, and oversee equipment inventories to ensure our office operates seamlessly. Your role is central to maintaining our organizational standards.
  • Organize appointments, meetings, and conferences with an eye for detail, ensuring all engagements are scheduled effectively without conflicts. Your management of these elements is crucial for the operational flow of our office.
  • Monitor and manage the daily operations of our office. This includes coordinating maintenance and repairs, ensuring our workspace remains clean, organized, and conducive to high productivity.
  • Serve as a supportive bridge between departments, aiding in administrative tasks, facilitating communication, and ensuring a cohesive operational strategy across the board.
  • Handle sensitive information with the utmost discretion, maintaining confidentiality and professionalism at all times.

Qualifications and Skills:

  • Proven work experience as an office administrator or in a similar role
  • Proficient in using office software such as Outlook and Microsoft applications
  • Excellent organizational and time management skills with the ability to multitask and prioritize tasks effectively
  • Strong attention to detail and accuracy in handling administrative tasks
  • Excellent verbal and written communication skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Strong interpersonal skills and the ability to work well with individuals at all levels
  • Problem-solving and decision-making abilities
  • Ability to adapt to changing priorities and work in a fast-paced environment
  • Diploma in office administration or an equivalent qualification will also be an asset
