Overview

The HR Administrator is responsible for providing comprehensive administrative support to the Human Resources department, ensuring the efficient delivery of HR services and the smooth coordination of key people-related processes. The role supports recruitment, onboarding, offboarding, employee records management, training coordination, and employment administration while acting as a first point of contact for routine HR queries. The HR Administrator maintains accurate and confidential employee information, prepares HR documentation, facilitates communication between employees and the HR team, and contributes to the effective administration of HR operations in line with company policies and employment regulations. 

 

Responsibilities:

• Answer HR telephone calls, monitor HR mailboxes, and ensure queries are directed to the appropriate team member. 

• Coordinate interviews by contacting candidates, scheduling appointments, preparing interview invitations, and booking meeting rooms. 

• Assist with employee onboarding and offboarding administration, including preparing documentation and coordinating the necessary processes. 

• Process Jobsplus engagements, terminations, and other employment-related notifications. 

• Coordinate employee training sessions by arranging schedules, communicating with participants, and maintaining training records. 

• Prepare standard HR letters, forms, reports, and other documentation as required. 

• Maintain accurate employee records, databases, and filing systems, ensuring all information is kept confidential and up to date. 

• Respond to routine employee queries or direct them to the appropriate HR team member. 

• Carry out general administrative duties to support the smooth running of the HR department.

  • Willingness to learn and support a variety of HR administrative processes.

Education and Experience
  • Previous experience in an administrative or coordination role is preferred.

  • An MQF Level 4 qualification in Business Administration, Human Resources, or a related field will be considered an asset.

  • Good working knowledge of Microsoft Office applications, particularly Outlook, Word, and Excel.
